Job Summary
The Administrative Support role provides critical clerical, coordination, and communication support across warehouse, transportation, and corporate operations to ensure efficient workflow, accurate documentation, and excellent internal and external customer service. This person acts as a central hub: keeping paperwork organized, helping coordinate schedules, maintaining records, responding to communications, and supporting various departments with general administrative tasks.

Responsibilities
  • Answer and direct phone calls; greet visitors and handle general correspondence (phone, email, mail)
  • Communicate clearly with other facilities, carriers, and customers
  • Manage inbound email flow and proactively provide updates when issues occur
  • Respond to customer inquiries and resolve shipment or documentation questions
  • Coordinate appointments and schedules for inbound/outbound loads, verifying delivery addresses, product information, and deadlines
  • Liaise between warehouse, transportation, drivers, and management to ensure smooth workflow
  • Check in and out over-the-road drivers and shuttle drivers; verify paperwork accuracy
  • Receive and ship loads at the customer’s direction; reject trailers or dispatch carriers when necessary
  • Coordinate trailer offloads to ensure product is received on time
  • Seal trailers and complete bills of lading (BOL) for outbound shipments
  • Maintain records of over-the-road shipments and switch lists as required
  • Maintain and organize physical and electronic office files, including invoices, purchase orders, bills of lading, transportation documents, and employee time records
  • Process, sort, and distribute inbound/outbound paperwork
  • Perform general clerical tasks: photocopying, scanning, filing, faxing
  • Prepare and distribute internal communications, memos, and notices
  • Provide back-up support for other administrative roles (e.g., HR paperwork, reception)
  • Enter shipment, receiving, and production data into logistics systems (Maves, SAP, Yardview, AX) and Excel spreadsheets
  • Generate standard reports (daily/weekly/monthly) on shipments, order tracking, and inventory discrepancies
  • Create and maintain spreadsheets, orders, and other tracking documents
  • Assist forklift operators by creating labels, RE22s, and scan numbers
  • Support safety and compliance documentation; keep training logs and certifications up to date
  • Help with billing, invoicing, and verifying charges; follow up with carriers or vendors if needed
  • Maintain office supply inventory; order and restock as needed
 
 
 
Key Qualifications 
  • High school diploma or equivalent. 
  • 1+ year of experience in an administrative or clerical role, ideally in logistics, transportation, manufacturing, or warehouse environment
  • Strong organizational skills; attention to detail and accuracy
  • Proficiency in Microsoft Office (Outlook, Word, Excel); comfortable with learning new systems (WMS, TMS, or company‐specific software)
  • Good verbal and written communication skills
  • Ability to multi‐task, prioritize work, and respond to changes quickly
  • Ability to work well with internal customers and teams; strong interpersonal skills
 
Preferred Qualifications 
  • Higher level education, certifications, or    training in a related field
